Faculty In Residence: Part 1

I was contacted this Summer by the Student Residence Program to find out if I wanted to participate in this new program on campus: Faculty In Residence. What this entails as far as I know, is meeting with students who live on campus and discussing different topics. The time commitment is up to me. This project will have students meet professors in a non-classroom environment.

I’ve participated before in talks to students who live in residence, which were more informative talks about research or how to be a good student. This initiative though is meant to get the students to establish a better or perhaps different relationship with faculty. Perhaps–demystify the professor. I don’t know everything about the initiative, but I did agree to it. As I have repeatedly blogged about, mentoring is my mandate and I take mentoring and coaching students and peers seriously. I also have mentors and friends who I go to, so mentoring/coaching never really ends.

And, to the students who suggested me for this program, I thank you.

This short post is one of hopefully several about the Faculty in Residence program.

Looking for Work: There is a Book for That

I stumbled upon a shelf or two at the bookstore filled with career advice books for undergrads and other job seekers. I was quite curious and leafed through some. And, I took photos of a few of them. I’m sure that many of these books dispense good advice for job seekers, and given my penchant to read as much as I can I think it’s good to do your homework. But, there is a part of me that also hopes that students go to the Career Center or whatever name it’s called on campus. Here are some screen shots of some of the books that I leafed through the other day.

I didn’t see anything Earth shattering in the above book–but it does have a snazzy title and will definitely cause some to buy it hoping that the right equation is there for them. I’m not dismissing the book or endorsing it. But, it does catch the eye! I wonder how many copies of this book have sold? You, too can use Social Media to help you get a job. Yes, you can, but just being on social media is not enough. Big smile. Mind your digital footprint. It’s always good to occasionally Google yourself and see what is out there. Clean up your presence if you must. There are reputation management companies to assist you with this, too! Hopefully, most won’t need to resort to the consultant to clean up the digital footprint!

I’ve read the Parachute book and back in the day found it helpful. No wonder it’s been repeatedly published. Many people have no clue what they want to do and books like it are useful to get you thinking about the possibilities and the reality of your own skills and interests. And, nothing beats talking with a career educator, mentor, coach or trusted person in your life. Which brings me to my next thought–I really hope that students scouring the shelves in the university bookstore look to their network as a rich resource, too. Start off with your friends, family, profs, employers, and the career center! Set up coffee meetings and ask that contact to introduce you to a person or two so that you can increase your networks.

44 Secrets! Now, some of them make me think of Captain Obvious, but I’ve been working since I was 16. I do think that the book has lots of great hints/information for the job seeker. It looks helpful in a cheeky sort of way. I should have taken more photos of the table of contents, as this book really made me laugh out loud.

I liked the section about: You’re Hired, Now What? This is also an important part of the job seeking process. What to do when you get hired. Some of the best advice that I’ve heard about once you’ve been hired is that you act and dress for the job you want. I’ve had other great advice, too. You know–keep your head down and work hard, avoid landmines, make good allies, and don’t piss off the more senior people. This is a quick list of some of the advice and certainly not exhaustive.

I have lots of former students on the job hunt right now and I wish each and every one of them good luck. If any of these books look promising, stop by a bookstore and leaf through it before you buy it. And, remember that we have a great Career Center on campus! Have one of the career educators review your resume and a sample cover letter. The staff or mentors on campus are here to help and you want to represent yourself in the best way that you can. Mentoring and Coaching: Post-Graduation

I’ve blogged lots about mentoring and coaching. I’ve differentiated the ways that some students require more hands on approach–ergo the mentoring, and some require less and I view this as more of the coaching strategy. I decided to do something different and buy some stationery and send some of my mentees (will use just that word) a note. I wrote the notes recently, but will send them prior to the Fall term. Now, I’ve sent emails and messages via other social media platforms, but I’m kicking it old school with the note cards.

Some of them will start or continue graduate school in the Fall, and others will join the working world outside of academe. I bought these note cards at the Papery on Fort St in Victoria, BC and chose something that was not too big, so that the sentiment wasn’t a thesis. My intention was to write something supportive, and dispense some advice. Academics tend to live our lives term by term or maybe even school year by school year. Graduate students get used to this, too. After graduation many of my former students note that they miss college and the schedule. Thus, I felt it was appropriate to send the note card just when a school term starts and the graduate might reminisce about their undergraduate days. (I know that many of them do, as I get the emails or Facebook messages telling me that they miss their university days and their old schedules).

Each note card was personalized to the particular mentee and my wishes for them. I gave them well wishes and felt quite emotional as I wrote the cards. I’ve given cards for graduation during the last several years, but these cards of well-wishes were different. I don’t view them as closure to our relationship, as I see the mentoring or coaching as not having an expiration date. And, to be quite frank a few of these mentees are now actually great friends to me, and my family. Now, for any former students who didn’t get a note and are wondering where is there note card–this was a first time project and I sent out several. I will do this again. I really hope the students who get the note cards appreciate them. I’ve only started this and will see how it works.

Reappointment Process for Tenure-Line Faculty

I’ve been thinking lots about this last school year. It was a really amazing one in terms of my academic career. In the Fall I was unanimously endorsed by my colleagues for reappointment. While I hoped and suspected that my reappointment would be smooth to have it behind me was a big relief. I can only imagine the stress involved with the tenure review. I have now loaned my binders to a friend for her own review.

If you’re up for your first review here are some points of advice. I assume and hope that some of my friends will respond and add in their two cents about the review process.

  • Document all that you do. This is easier said than done. Make sure that your CV follows the department or faculty norm.
  •  Speak to a colleague or mentor familiar with the department or faculty process, so that you have an inside view.
  • Review the Faculty Agreement/Contract or similar document to make sure that you are familiar with all the guidelines.
  • Meet with the department Chair to review the process. Get as much input as you can from the Chair.
  • Make sure that someone else (mentor/friend) reviews your dossiers.
  • I had to put together a Teaching Dossier and Service Dossier. But, most will need a fulsome Research Dossier.
  • I made photocopies of thank you cards and emails from students and included them in the latter part of my Service Dossier. I also contacted some current and former students and asked for some short statements of support. They were (thankfully) willing to do so! I included these in a sub-section entitled, “Solicited letters of support.”
  • I had to include all my course syllabi and Course Experience Surveys. I was also able to include the verbal comments from courses of my choice, but if I included comments I had to include all. I opted to include comments from one 1st year, 3rd year, and 4th year seminar. I teach an array of courses and felt that I needed to demonstrate my effectiveness among all my courses. It’s easy to pick the class with the wholly positive reviews, but you might want to think about the comments that best highlight student learning. (Remember that my position is full-time, tenure-track, and teaching focused). Related to teaching–you might have more senior to you colleagues sit in your class and review your teaching. Review the guidelines, as you should have a choice of who reviews you and when. And, you should have a right of response for the review or be granted another opportunity. I was supposed to have one course reviewed twice. I requested two courses and was glad that I did so. Given that my position is teaching focused, I thought that this would best represent my teaching skills.

I’ve included screen shots of my two sets of Table of Contents. These fit the norm of the department, so verify what is the norm for your department. Overall, I would suggest that you take 2-4 weeks to put together your dossiers. And, during the review process be nice to yourself. Try to not stress about the review and stay focused (word choice) on each step that you have control over–which is little! Good luck!

Post-Conference Thoughts

Last week I attended a national conference and had a great conference experience. This post will speak to things that we junior to mid-career faculty can do better. And, I’ll also have some advice for the advanced graduate students.

1. Walk around ready to engage in small talk with people you don’t know or want to meet. Try to avoid only chatting with your friends and colleagues. While picking up with them is important, you also can serve as a bridge to someone new at that meeting or new to the discipline.

2. Smile and say hello. It sounds simple, but it doesn’t come naturally for everyone. Ask people about their project. Try to be friendly. When Rita Mae Kelly died some years ago, I was quite upset. I didn’t know her well, but I recalled on numerous occasions she approached me and chatted with me for 5-15 minutes asking me about my grad school experience. She went out of her way to make me feel comfortable at the Political Science Meetings. When a session was held for her, I was in the audience crying. I looked forward to her chats. We never exchanged an email, but I was familiar with her work and I have all those memories of our chats that can’t count up to more than 5.

3. Go to the receptions and some of the dinners. It’s good be seen, but also it’s another opportunity for you to meet new people or strengthen old networks. When I walked into the banquet room with 270+ people I made the immediate decision to not look for friends. Instead I walked up to a half filled table and sat down there. As luck would have it, sitting across from me was someone I “met” via Twitter! I ended up having interesting conversations with a retired colleague and an advanced grad student from a UK program.

4. I was glad that I was active on the Twitter tag for the conference. The first morning I had breakfast with an undergrad from another province. We chatted and walked back to the conference site. I was also able to meet some others in real life, who I had previously known on Twitter. Social Media can be useful for the conference. I took notes at the Women’s’ Caucus Luncheon’s Mentoring Session and posted them immediately on Tumbler.

5. I attended lots of wonderful sessions and made a point to speak to one of the presenters. And, I also thanked the chair or discussant for their helpful comments. I paid attention. The panelists in some cases were senior people across the discipline, and in other instances are future colleagues. One of these conversations once led to a publication opportunity.

6. Take business cards. You might meet new people who want to contact you or vice versa. It’s good to have the cards at the ready. I find that I am apt to pass them out more so to advanced graduate students and let them know that I’m just an email or tweet away!

Overall, the conference was a success and from my comments you can glean: be out there!

Remembering to Breathe

On Saturday, March 17th I had the distinct pleasure of participating in a Mom panel on Real Parenting with Shirley Broback and two of the three co-founders and organizers of Breathe Now. The interview was focused on parenting tweens and teens and what this means for us. It was a great interview and I was reminded how almost two years ago we decided that we wanted to organize a conference for women.

The idea was that we have all attended work-related conferences, mom conferences, and social media conferences, but we did not feel like there was a conference dedicated to the three in such a way that also dealt with issues unique to women. And, as I noted on Real Parenting the fateful meeting at Murchie’s was when we came up with the name, Breathe Now. We wanted to remind women that it’s important to inhale, exhale and breathe. We need to be nice to one another and more importantly to ourselves.

My involvement with Breathe Now has offered me opportunity to get to know the other three co-founders well. And, with that I’ve also met so many wonderful people in the local community. We see the conference as part of our project to build connections for women. We run the gamut, though, with a former government worker–turned personal chef, communications consultant, a hotel industry executive, and an academic. What we share with this conference is an acknowledgement of the importance of women supporting one another. There is so much knowledge that we can share with one another–but the only way this will be done is by taking the time to talk and chat.

Breathe Now offers a weekend of events that is sure to inspire. We are proud that Rona Maynard is our opening keynote and Bif Naked is our closing keynote. The array of our panels reminds women that it is OK to take time for yourself. We are also setting up our slate of panels to look at the theme of It’s OK.  For instance, it’s OK to take time out for yourself, it’s OK to be successful…this theme is important, as women often apologize for taking time out for themselves or for their success.

I’ll end saying that I hope to see you at the conference on April 14 and 15 2012 at the beautiful University of Victoria!

Revisiting Conferences and Making it Worth It

An academic conference provides the more than the venue to present your work and hear other presentations. It also is a great place to network and make connections, as well as learn from colleagues in the field. This post makes suggestions for a successful conference appearance. I know that the Western is this week and ISA is at the start of April. My hope is that this post will be useful for most.

If you are presenting and need technology (a video data projector), do make a point of making sure that your needs are met. Likewise, always have a Plan B if the technology does not work. This means copies of your slides for you to refer to and handouts of any pertinent slides or related matter is also copied (introduction, findings and conclusion) for distribution. I gave a talk on campus last week and had my iPad, thumbdrive, Slide Rocket and Drop Box versions of the presentation; however, everything worked fine with my iPad.

For graduate students, you should come with some business cards in hand. The standard in my areas of familiarity (Women’s Studies and Political Sciences) are that you can use the university crest and get cards printed. Please note that when you are writing your thesis, you are a candidate (for instance MA Candidate) otherwise you are a Graduate Student. When you have defended your prospectus for you dissertation, you are a PhD Candidate. You cannot put PhD on your card until you have defended or have your PhD in hand. I see that a few people have PhD on their Twitter profiles or blogs and they do not have this degree earned yet. This is misleading and unprofessional to do—don’t do it!

Practice your presentation in front of a mirror or a friendly audience. There is nothing harder to do than to sit by and pay to attention to a terrible or wooden presentation. Don’t stare at your computer. If you must, place phrases in your document that read: scan the room, breathe, smile, look up, etc. This will help you add some semblance of connection with your audience. Speaking of which you could present to one person or have no one in your audience, but this still counts as a presentation for your vitae. Enjoy your presentation!

Make sure that you take time to attend some of the receptions. This is a good place to network or catch up with others. Make sure that you are available to attend some of these events. The conference is not a vacation, but a working series of meetings. Take some time off, but your main job is to use the conference experience to help you share your research and meet people in your discipline. It is worth the time to meet people, too. I have found that some of my publications were thanks to a conference presentation, when an editor was in the audience or another panelist invited the panel to submit a special issue to a journal.

Before your trip you also want to peruse the conference program well so that you can organize your daily itinerary of what you have to do. If your advisor, mentor or other faculty in the department are attending the conference, go to some of their talks. Ask them to introduce you to some people at an event. A good committee member or mentor, will do this naturally, but some people need the little nudge to do so. Also, try and meet other graduate students. These people will provide the cohort of scholars you will see at the conferences and it is worth getting to know them.

The next few things are obvious: have fun, eat, sleep and exercise. Conferences are often 12 hour days and you want to make the most of them, but not work too hard that you return home exhausted or sick. Have a great time, but be careful to not drink too much. You are presenting yourself to others in your field. Likewise, be careful what you say on social media during the conference.

Remember that your first academic conference might appear a daunting experience, but it is not if you plan well and take the time to network and attend conference events. Also, engage with others online via social media–this way you can also meet people prior to the conference and have a meet up.

For the established academic, all of the above is obvious. But, let me add that we need to remember to make time to mentor. I try and take grad students out for a drink, coffee or a meal to chat with them about their progress. These brief meetings make a difference. I know that they did when I was a grad student.

Mentoring Grad Students: A Revisit

I was looking at my blog posts and see that this one from not quite two years ago is timely. I have taken the liberty of revising the post.

I have been having more conversations with graduate students about life after graduate school. Not all of them are interested in the traditional career path in academe. Can you blame them? The job market for full-time work in higher education is dismal. There is lots of work for contingent (part-time) faculty, but that doesn’t really provide a stable income. I know this well, as for most of my academic career, thus far, I worked part-time. Sometimes this work was between three different departments and most seasoned graduate students know this.

I do think that we need to be more responsible with our mentoring of graduate students and part of this includes not suggesting graduate school as a viable option to some students. There, I said it. Graduate school is not for everyone; however, some will figure this out on their own. I am referring more so to being honest about the psychic and financial instability of graduate school. Lately, I am seeing more undergraduates entertain what they are referring to more “practical” programs like advanced degrees in Public Administration and even a few are entertaining MBA programs. I think this is a good thing–let them branch out into different degree programs. An advanced degree in Political Science is useful, but it is not the only option.

I have been pleased to see an ongoing thread on Twitter under the hashtag #NewPhD. These short conversations are interrogating degree programs and what we think needs to change. These are important conversations. We also need to provide more support to graduate students. This includes support for when they need more help. And, this includes protecting them from yes-itis. You can say yes to too many project or overall commitments and then not give any of them the full effort they require.

We need to be more honest with our graduate students and make sure that our institutions offers different types of job training or workshops. And, if the student does want to go into higher education, we need to do a better job of training them to work with students. This can be tedious, but meeting one on one with the students is really worth the time. This is part of an ongoing train of thought for me. Graduate students also have to willingly want to learn and realize that professional development is important. This is the best case scenario–where their institution offers workshops and they have good mentors. We all have stories where things went awry. But, let’s try to make it better for the current cohort of students.

Grad Schol Applications: Revist

Yes, it is that time of year, when professors are writing students letters of reference for graduate school. Thus, it’s worth my re-post of this Oct 2010 post with some additional comments. Just a few words of advice to students: Be organized. Don’t be a tyrant! My experience is that 99.9% of students are earnest and really want the help. What happens is that poor time management adds stress to an already stressful endeavor.  So, this photo is shared with lots of smiles. And, I realize that college students are not children. The quote was one that made me smile. That is all.

1. Ask professors weeks before the letters are due. And, please don’t be offended if we decline.

2. Provide us all the information we need. Where is the letter going? When is it due? Do we need to complete an applicant assessment form? Can we upload the letter online? Please fill out any forms and try to avoid asking the letter writer to do so (your name and SIN or SSN info)

I ask for a copy of your letter of intent and cv/resume. I might even meet with you and ask what your motivation is for continuing your education.

3. Remind us. Send an email a few days before a due date.

4. Thank us. This can be an email or a note. It’s not necessary to do more. Remember that your tenure line faculty actually get paid to mentor and do things like write letters. Keep in mind that part-time faculty do not get compensated for this extra work. Remember to thank them profusely–a card, bottle of wine or a face to face thank you is nice.

5. Remember that your organization makes this process easier. You will fill less anxiety and provide your reference writer ample time and information.

6. Keep us informed with the good news or what your Plan B or Plan C is.
